Terms & Conditions

By attending sessions, you enter into a contract with The Best-on Lifestyle Co. Limited, trading as The Pilates Room, located in Pukekohe. This agreement is governed by the terms and conditions outlined below.​

  • Payment

All class payments must be made in advance.

For memberships, you may select your preferred day of the week for automatic payment deductions.
If a membership payment fails, a second attempt will occur three (3) days later.
If payment remains unsuccessful, additional fees may apply, and your bookings may be cancelled.

  • Cancellations & Rescheduling 

To cancel or reschedule a booking, at least 12 hours’ notice is required.
Failure to provide 12 hours’ notice, or not attending a booked class, will result in the class fee being forfeited from your pass.
All cancellations or rescheduling must be done directly via our booking system.
This policy ensures fairness to other clients who may be waitlisted or wishing to book. Your understanding is appreciated.

  • Waitlist Policy

 By placing yourself on a waitlist, you agree to participate in that class if a space becomes available and you will be automatically booked in based on your place in the waitlist
If you can no longer attend the class it is your responsibility to remove yourself from the waitlist.

 

  • Phone Policy

To ensure class enjoyment for everyone participating, please make sure your cell phone is silenced or turned off unless discussed the reasoning why this is not possible with your Instructor at the start of class.  If you choose to take a call during a class, you will be asked to exit the studio to do so.​

  • Amendments

The Pilates Room reserves the right to amend pricing for any packs or memberships at any time.
All changes will be communicated in writing and will take effect 30 days after notice is deemed received.
By continuing your membership, you authorise us and/or our payment provider to debit the updated amount.
Please keep your contact and payment details up to date to ensure smooth operation of your membership.

 

  • ​Pauses / Suspensions

 Class passes are valid for the specified timeframe noted from the date of your first booked class.
If you are unable to complete your classes due to extenuating circumstances, extensions may be considered on a case-by-case basis.
New client offers cannot be extended or rolled over.

 Memberships may be paused for a set period with a minimum of 5 days’ notice.

  • Termination, Transfer & Refunds

Refunds are not available. Credit for the same services may be offered instead.
Memberships are non-transferable for cash.
Memberships may be terminated with 14 days’ notice, after the minimum 12-week commitment. Submit termination requests via email: hello@pilatesroom.co.nz.
Membership use continues until the end of the 14-day notice period, with payments continuing as scheduled.
Memberships can be reinstated at a later date if you wish to resume.

  • Video & Photography

.From time to time classes may be photographed or filmed for promotional purposes on social media or our website. Please inform us of any personal or religious reasons that would prevent you from being included, so we can respect your wishes.

  • Studio Guidelines 

Wear comfortable clothing that allows for movement.
Wearing clean socks is compulsory, ideally grip socks. If you don’t have socks, you will be required to purchase some prior to your session.
Tie long hair back for safety.
Phones must be silenced. 
For health and safety reasons, children (and babies) are not permitted in classes 
A bench is available in the shared hallway if needed, but this is a shared space and children must be quiet and respectful.
Teenagers (under 16 years of age) may attend classes with prior parental consent.

 

  • ​Privacy Policy

We are committed to ensuring that your information is secure. In order to prevent loss, misuse, unauthorised access, modification, disclosure, alteration, or destruction we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. However, you should keep in mind that the transmission of information over the Internet is not completely secure or error-free. In particular, e-mails sent to or from our website/email address/booking system may not be secure, and you should therefore take special care in deciding what information you send to us via e-mail. We may collect the following information:

  • Name

  • Contact information including e-mail address and phone number

  • Date of birth

  • Emergency contact person

  • Payment history

  • Demographic information such as postcode

  • Other information relevant to customer surveys and/or offers

  • Sensitive information including injuries or physical concerns

  • Please note that we use a third party payment system (Stripe) which stores your credit card information​​​

​

  • Liability 

Participation is at your own risk. You agree not to make claims for compensation or damages arising from services, except in cases of our negligence.
The Pilates Room is not liable for property lost, stolen, or damaged on the premises.
You are responsible for any damage caused to studio property or equipment by yourself or a minor under your supervision.
